An awarding winning, Legal 500 and full serviced law firm in Surrey are looking to recruit an Office Administrator to over see the running of the office and provide support within the team.
An awarding winning, Legal 500 and full serviced law firm in Surrey are looking to recruit an Office Administrator to over see the running of the office and provide support within the team.
Responsibilities will include:
Working on the reception desk to handle incoming phone calls quickly and efficiently.
Meet and greet clients and visitors.
General administration to include filing, faxing, scanning, binding, archiving and photocopying.
Providing support to the partners to open the post each morning and categorising the mail per department. This must then be distributed to the relevant teams.
Administering client files with updates; opening and closing files when matters start and finish.
Supporting solicitors in the office with their administration needs across all practice’s areas.
Draft and proof-read attendance notes, take notes at court, proof reading documents, simple email/letter writing to clients or third parties as required.
Ordering stationery for the office.
Managing the office diary system to schedule appointments.
Some overflow typing support to solicitors alongside legal secretaries (full training provided); involving typing up documentation for solicitors from a dictation system.
Running errands inside and outside of the office.
Receiving deliveries – there may be some light physical activity / lifting.
Providing administrative support to the Operations Team as required including re-calling deeds and files from off-site archive storage provider.
Desired skills:
At least 12 months + administration experience ideally within a law background or within professional services.
Numerate and literate.
Client facing experience and telephone skills.
Ability to use IT packages such as Microsoft Word, Excel and Outlook.
